Edit the price or duration of a Variant on a booking
When managing bespoke bookings for your customers, flexibility is key. Sometimes, adjustments need to be made to accommodate changes without requiring you to create a separate Variant for each price or duration adjustment.
On Easol, you have the ability to edit the price or duration of an Experience Variant to better tailor your offerings and meet your customers' needs. This is also useful if you use Recommendations to put together bespoke offerings for customers. Even if a custom price was applied, the sale will continue to be reported under the same product and Variant in your reporting with the custom price listed.
Edit the price of a Variant
When you need to edit the price of an Experience Variant within a booking, you can do so in a non-transparent way. This means that if you create a new booking or Recommendation, any changes you make will replace the original price without the customer perceiving it as a reduction or increase.
When editing the price of an item, the booking fee and any discounts (formerly known as price reductions) are shown as well, and the resulting total price is automatically calculated.
Note: The price of a custom priced package cannot be edited.
To edit the price:
- Go to Bookings > All Bookings in your dashboard and select the Booking Reference of the booking you want to edit.
- Click Actions > Edit.
- Locate the line item you would like to edit the price of and click Edit price.
- Enter the new price.
- (Optional) Add a booking timeline note to explain the price adjustment.
- Click Save.
- Once you're happy with the booking edit, click Update booking. If the price change is incorrect, simply click Cancel and restart the booking edit.
The new Variant price has now been updated on the customer booking and the change will be recorded in the booking timeline.
If the change creates a pending payment status, you can copy and send the Payment Link to the customer for them to pay directly, or you can manually take the payment details on behalf of the customer. Alternatively, new items can be added to a booking for free by applying a discount.
Edit the duration of a Variant
When editing the duration of an item, the date and (if applicable) start time are shown, and the duration can be set in days, hours, or minutes. For example, you may need to change the duration of a time slot from 90 minutes to 2 hours.
When editing the duration of a date/time slot, the new duration may overlap with another slot. This will not update the stock of the other slot automatically, so it's important to take this into account when making the change.
Note: Durations of items within a package cannot be edited.
To edit the duration:
- Go to Bookings > All Bookings in your dashboard and select the Booking Reference of the booking you want to edit.
- Click Actions > Edit.
- Locate the line item you would like to edit the duration of and click Edit duration.
- Specify the new duration in days, hours, or minutes.
- If applicable, ensure that the new duration does not overlap with other time slots, as this will not update the stock of the other time slots automatically.
- (Optional) Add a booking timeline note to explain the duration adjustment.
- Click Save.
- Once you're happy with the booking edit, click Update booking. If the duration change is incorrect, simply click Cancel and restart the booking edit.
