Manage experiences with multiple start dates
Set up multiple start dates
-
Set up your experience. You can either create a new experience, or duplicate an existing experience.
- If the experience you'd like to duplicate is part of a "Series", it will need to be removed from the series before you can add dates.
- Click into your new experience to edit it and navigate to the Availability tab.
- Click on the Add button in the top right-hand corner of the screen.
- Add each of the start dates you'd like to offer. The date picker will prevent you from adding dates you've already added.
- Note: If the experience is published, any dates added here will be live on your website immediately.
- Limit your view to a specific date range using the Starting from filter as needed.
- Any content you've set up in the Variants, Extras, and Modifiers tabs will be what's available by default for any dates you create. Including the stock, pricing, hidden/shown status, sold out status, merchandising settings, amongst other settings.
Delete start dates
You can't delete the original experience date, a date that has a sale against it, or a date that's being held in a Recommendation. In these cases, the Delete action will be greyed out in the menu.
- From your Easol admin, navigate to Sell > Experiences and select the experience you'd like to edit.
- In the experience, navigate to the Availability tab.
- Click on the three vertical dots to the right of the row for the date you want to delete. The dots will open a small menu.
- Click Delete.
Manage your start dates
Sales you've made against a Variant or Extra can be viewed against the individual date, in the Variant Sales column within the table in the Availability tab. You can customise the stock, price, visibility, and booking window of Variants, Extras, and Modifiers for each individual date. The table in the Availability tab provides a high-level view of combined Variant sales, as well as any customisations you've made. To customise an individual date:
- From your Easol admin, navigate to Sell > Experiences and select the experience you'd like to edit.
- In the experience, navigate to the Availability tab.
- Click on the three vertical dots to the right of the row for the date you want to edit. The dots will open a small menu.
- Click Edit.
- Find the Variant, Extra, or Modifier you'd like to edit.
- For each Variant, Extra, or Modifier there are a set of toggles that allow you to override the default price, stock, visibility, or booking window for that date or time. To make changes, switch the Override toggle to "on", next to the desired setting. This locks that attribute for the selected Variant, Extra, or Modifier for that date or time, ensuring it won't be updated if you make changes to the default settings.
- For example: Your experience runs daily, and the Variant is set to £10 by default. You open up August 10th in the Availability tab and change the price of the Variant on this date to £12. If you go back to the Variant settings and update the default price to £15, all dates will inherit this new price except for August 10th, which will remain as £12 as the system respects the override you applied.
- Note: If the stock number is removed so the field is empty, stock will be unlimited for that date.
To undo any customisations or edits on an individual date, disable the Override toggle and click Save. This will reset the date to the values set in the original experience.
