Manage availability of experiences
Make an experience available for bookings
To make an experience available for bookings, you need to have at least one variant, in stock and available for purchase, and then publish the experience.
Manage stock inventory
For each variant, you can set a stock inventory to ensure that you do not sell more than you have. Once you've sold your inventory, the variant will automatically be marked as sold out. If a variant doesn't have a set stock inventory, you can sell an infinite number.
How to set a variant's stock inventory
- From your admin dashboard, go to Experiences and select your experience.
- Navigate to the Variants tab and then click on the variant you want to update.
- Under Basic details, set the number of units available for the variant using the Initial stock.
- Click Save.
Note: You can update the inventory at any time. If you sell out your inventory and want to increase it to make it available for bookings, you will need to take the initial stock number and add to it. For example, if your initial stock at launch was 100 and you want to add another 100 units, change the initial stock to 200. If the initial stock is lower than the total units sold, the variant will be marked as sold out.
How to mark a variant as sold out
You can manually mark a specific variant as sold out by either setting the initial stock to 0 or checking the Sold out button.
How to hide a variant
You can hide a specific variant from customers by checking the Hidden button. This is great if you have a published experience but want to launch new variants over time.
If no variants are visible for customers, the experience will be marked as "Coming Soon".
How to mark an experience as private
You can manually mark an entire experience as private, so that it is undiscoverable on your site and only customers with a direct link to the experience can view it. This is useful for selling invite-only experiences.
To mark an experience as private, go the Settings tab and then switch on the toggle under Visibility.
Note: The experience will only remain private unless you manually link the experience on a public website page (e.g. by adding the experience into a featured experience block) or share the URL.
