About editing bookings on an active payment plan
Bookings on an active payment plan have some restrictions ā some edits require cancelling the payment plan first before changes can be made. Once a payment plan is cancelled, it is reverted to a booking with an outstanding balance that the customer can manually pay online.
Edits that don't require cancelling the payment plan
Basic updates, such as:
- Changing guest information, including name, email, phone number, and other allocation fields
Edits that do require cancelling the payment plan
Updates that involve price changes, such as:
We recommend double checking with the customer before making any changes as canceling a payment plan cannot be undone.
How to cancel a payment plan and edit a booking
- Go to Bookings > All Bookings in your dashboard and select the Booking Reference of the booking you want to edit.
- Click Actions and select Edit.
- Click Cancel payment plan & edit.
You should now be able to edit the booking, including adding and removing items, apply price reductions and change modifier selections.
Managing outstanding payments
If there are any outstanding payments, you can copy and send the Payment Link to the customer so that they can easily log into their account and pay the remaining balance online. You can also update the balance due date; the due date will default to the original final instalment date of the payment plan.
Tip: We recommend resending a booking confirmation email to the customer after editing a booking. You can do this under the Timeline.
Refunding payments
To issue refunds from a payment plan, you'll need to remove an item or cancel the booking on top of cancelling the payment plan itself. You'll have the option to refund the total balance paid by the customer (including payment plan fees), or issue partial refunds.
